Setting up a Posteo Email Address and Alias in KMail

KMail can be adjusted en détail. But for a basic set up of an email address only a few customizations are needed, and that is made simple and fast.

Setting up an email address in KMail

Create an identity: Under Settings → Configure KMail → Identities modify the existing one or add a new one. Under the General tab add your name and email address.

Inbox: Add an account under Configure KMail → Accounts → Receiving. Choose between IMAP E-Mail Server and POP3 E-Mail Server.

IMAP: Under the tab General give your account a custom name. Enter posteo.de in the field IMAP Server, your email address in the field Username, and below the Posteo-password.

Under the tab Advanced select SSL/TLS with Port 993. The Authentication is Plain. Instead of SSL/TLS you may choose STARTTLS with Port 143.

POP3: The tab General is the same as IMAP. Give your account a custom name, enter posteo.de in the field Incoming Mail Server, your email address in the field Username, and below the Posteo-password.

Under the tab Advanced select SSL/TLS with Port 995. The Authentication is Plain. Instead of SSL/TLS you may choose STARTTLS with Port 110.

Outbox: Add an outgoing account under AccountsSending. Create a SMTP Server.

Under the tab General enter posteo.de in the field Outgoing mail server, check Server requires Authentication, enter your email address in the field Login, and below your Posteo-password.

Under the tab Advanced check TLS, and enter the Port 587. The Authentication is Plain.

Now the account is established.

Setting up the alias in KMail

Create a Posteo Alias: Log in the website at www.posteo.de. Create a new alias under Settings E-Mail-Aliases. Under Identities add a new identity with the email address of the alias. Log out.

Activate alias in KMail: Add a new identity for your alias under Settings Configure KMail Identities. Fill in the fields Your Name and Email Address, as you did with the first identity. Now there are two identities.

Now change the default identity: there add the email address of your alias.

Save, close the window, and go back to the main window. Now you can send and receive messages with the alias. Go to File New New Message View and check the box Identity. You are now able to switch between the identities.

Sort email addresses in subfolders

POP3: In Local Folders add two folders in inbox and two in sent-mail, for every email address one (right click of the mouse button).

Select sent-mail folder: Go again to Settings → Configure KMail → Identities. Modify both identities. Under the tab Advanced Sent-mail folder select the folder you just created.

Save and go back to the main window.

 

Filter for inbox folder: Go to Settings Configure Filters. Add two filter.

In Filter Criteria check Match all of the following. In the first textbox select To, then contains, and in the next textbox enter the email address. Under Filter Actions select Move Into Folder, and than select your created folder.

IMAP: Create folders like in POP3. Log into your account at the website at www.posteo.de. There create the same filters as above in Settings Filter.

 

Voilà, that's all there is to it.


In this way you can add more email addresses with more IMAP/POP3/SMTP accounts, and sort them.

Within a POP3 account without an alias you may select your inbox folder under Settings → Configure KMail → Accounts → Receiving → POP3 Account Settings → Advanced → Destination Folder.

After the first setup you can adjust KMail much more to your needs with security, backup and design. There are some programs working together with KMail like an address management, a schedule management, a calendar and a RSS reader.
